Graft counts come from Clover, where transplants are rung up per graft. A case stays pending until you confirm the surgery happened — the graft count appears the moment a deposit is taken, so a booking that never goes ahead would otherwise be paid for. Each case pays once, on the day it was fully paid, however many instalments there were.

For money returned to a patient that Clover never sees — a chargeback taken by the card company, or a refund paid by company cheque. A Clover refund is already handled automatically and does not belong here.

Search the patient, pick the original sale, and the commission to reverse is worked out from that sale at the rate that applied when it was paid. You never type a commission figure. A chargeback you are still contesting can be recorded as disputed — it moves no money until you settle it.

Only hourly staff appear in Payroll Hours — salaried people and contractors aren't paid from a timesheet, so listing them there just invites hours that will never be used. Leaving this unset keeps them on the list, so nobody drops off a timesheet by accident; they're flagged there until you choose.
